And the time cost of using a tool that doesn't quite fit your needs can dwarf the money you saved on the subscription.
Evaluate software on total value: the monthly cost plus the time it saves you plus the revenue it helps you generate or protect through retention. A platform that costs $50 more per month but saves you five hours per week and reduces churn by 20% is overwhelmingly more valuable than the cheaper alternative.
Mistake 4: Fearing the Switch
The number one reason gym owners stay on the wrong platform is the perceived pain of switching. And it's almost always overestimated. A well-supported migration takes about two weeks and causes minimal disruption to members.
Compare that to the ongoing cost of staying on the wrong platform: the extra tools you're paying for, the time you're wasting on manual processes, the members you're losing because the experience isn't good enough. Over 12 months, the cost of not switching almost always exceeds the cost of switching.
Mistake 5: Not Using What You're Paying For
This might be the most common mistake of all. Many gym owners are already paying for software that can do far more than they're using it for. They set up billing when they joined and never explored the community features, the automation tools, the retail system, or the communication platform.
Before you consider switching, make sure you've actually explored what your current platform can do. You might be sitting on features that would solve your problems if you took an hour to set them up.
A Simpler Framework
Think about gym software the way you think about equipment. You need the basics to be excellent. You need it to be reliable. You need it to serve the people using it. And you need it to not get in the way of the thing you're actually here to do, which is coach.
